25.06 Memberships, Licenses, and Other Professional Dues

Purpose:

To establish policies and procedures associated with paying individual/institutional memberships, licenses, and other professional dues.

Policy:

The following procedures will be used when processing payment for a membership, license, or other professional fee.

Memberships and Dues:

Chancellor’s Office departments may pay for dues and memberships with the following parameters:

  1. There is a valid business purpose
  2. There is a documented benefit to the Chancellor’s Office of the System
  3. Memberships should be institutional rather than individual where determined appropriate and practical
  4. Payments for memberships in civic organizations such as Rotary, Kiwanis and Lions are usually not allowable
  5. Membership fees or dues will NOT be authorized for organizations that discriminate on the basis of race, religion, sex, national origin, age or disability.

Professional Licenses and Fees:

Chancellor’s Office departments may pay for professional licenses/certifications within the following parameters:

  1. There is a valid business purpose
  2. The professional license or certificate must be applicable to the employee’s current position

Procedures:

  1. Employee or department staff will include a short description of how the fee/due meets the above stated policy when submitting the invoice/reimbursement for processing.
